Cambridge in context

Cambridge is a university city, and the county town of Cambridgeshire. It was granted its city charter in 1951 in recognition of its history, administrative importance and economic success. The city’s centre is dominated by various colleges of the University of Cambridge, many of them founded in medieval times. The city now boasts a second university, Anglia Ruskin University, which is the former Anglia Polytechnic.

The city has direct road links via the M11 motorway and the A10 trunk road to east London, which is approximately 50 miles away. Meanwhile cross-country roads make the city a link between East Anglia and the East Midlands. Rail services are offered to and from London King’s Cross and London Liverpool Street. Cambridge has its own small airport, but is also well-served by London Stansted Airport (some 21 miles away).

The changing face of Cambridge’s economy

Traditionally, Cambridge’s main economic role was as a market town for the region’s agriculture. In the twentieth century, this became supplemented by tourism, which remains a major source of income. But Cambridge has more recently become a vibrant and vital centre for hi-tech businesses and technology incubators. This has earned it the nickname ‘Silicon Fen’, in homage to the ‘Silicon Valley’ tech sector of California, USA. There has been a profusion of science parks on the city’s outskirts, many of them owned or leased by university colleges. As a result, employment and resident population has grown rapidly in the 21st century.

Indeed, there are 131,800 local residents in the city and non-metropolitan district. Of this total, 98.3% were economically active or not claiming benefits in 2016. Interestingly, the city has a high proportion of jobs in the highest-paid professional, managerial and administrative categories (32.6%, against the UK average of 23.5%). Over 24,450 companies are located in the city, and the total turnover of these companies was £35.6 billion in 2015-16.

High office rents in Cambridge: off-site secure document storage is one solution

With this economic profile, high-quality office space is at a premium in Cambridge. This applies both within the city, and in the industrial and science parks to its north and south. Rents have been rising in recent years, and are forecast to continue to do so. Every organisation operating in Cambridge must think carefully about the size of its offices.

By moving document storage off-site, organisations can make savings by downsizing and reducing their rent bills. CAS provides document storage services, which don’t compromise on the security of your archive storage. Nor does this prevent fast access to your documents. Our live file storage system means that frequently used documents can be rapidly accessed and amended. Furthermore, our services offer a full audit trail of any interactions with the document.

Advanced medical records storage

We understand that medical records storage is highly specialised and intricate, needing to recognise the obligations set out by the Care Quality Commission (CQC) for health-sector organisations. We’ve written up a case study on our work with the Cambridgeshire Community Services NHS Trust, where we digitised more than 20,000 confidential client files and relocated the paper documents.

CAS is fully compliant with the Data Protection Act 1998, and registered with the Information Commissioner’s Office (ICO) No: Z1281061. What’s more, CAS is future-proofed for the Europe-wide General Data Protection Regulation (GDPR), which comes into force May 2018. We maintain the confidentiality of medical records at all our secure sites. And to facilitate remote working, we’re also able to offer constant access to files via our proprietary CAS-Cloud document management system.

Financial records storage for Cambridge businesses

With our track record of dealing with financial sector companies, we are fully versed in the requirements for such companies as set by the Financial Conduct Authority (FCA). Our RFID systems support strict compliance regulations, including UK and EU data protection requirements, and the US’s Sarbanes-Oxley (SOX). So we are perfectly positioned to offer Cambridge’s financial service providers bespoke document storage and facilities management services.

We know that financial records storage often involves managing sensitive personal data. This task is becoming more onerous with the introduction of GDPR. One change is an enhanced ‘right to be forgotten’ for individuals whose personal data you hold. Should one of your clients exercise this right, we can shred documents or dispose of unwanted IT equipment and data.

Legal records storage

Given Cambridge’s place as a county town and administrative centre, it is home to a large selection of law firms of varying size. We are uniquely placed to offer law firms based in Cambridge a full range of secure document storage. We’re conversant with the obligations which the Solicitors Regulation Authority (SRA) Code of Conduct imposes on all the UK’s law firms, and can help provide the highest level of security and confidentiality for all your off-site legal records storage.
