With the advent of the General Data Protection Regulation (GDPR) earlier this year, keeping information secure is a hot topic. Whether they’re clients, customers or employees, every UK organisation must be able to show why it’s keeping individuals’ personal data. And organisations must also be able to show they’ve deleted this data when they are asked to do so. Here at CAS, we’re all over data protection regulation. We can provide a strategic approach to document shredding and data disposal, and even IT equipment disposal. In this blog, we’re focusing on shredding paper documents. Not only does this improve your data security but it saves the planet, one tree at a time. Here’s how we can help in three easy steps.
Step 1 — Securing the documents
We can provide specially designed confidential waste collection bins free-of-charge. The bins have a slot where documents marked for destruction can be ‘posted’. Our bins hold between 80 and 660 litres of waste paper. The bins are locked, and we supply a key to your office manager. If an entire arch file or document storage box is slated for destruction, they can unlock the box and drop the whole item in.
The boxes are lined with opaque bags that have secure integral ties. Once the bin is full, the office manager, or our representative, unlocks the bin and secures the bin’s contents. This means that the actual documents are never handled or seen once in the bin.
Step 2 — Shredding the documents
We arrange scheduled collections as often as required, to suit the specific needs of each office. Uniquely, CAS does not tie clients into a fixed term contract. The frequency of visits is flexible and determined by the office manager. A member of our experienced team will visit your site in one of our GPS-tracked vehicles. The whole CAS fleet is LPG-powered, reducing emissions and adding to an environmentally friendly process. And we undertake criminal record checks of all our document-handling staff through the Disclosure and Barring Service (DBS).
The collected bags are taken to our secure shredding facility which has gated perimeter fences, 24/7 security patrols and advanced CCTV. Our gate staff require identification for anyone entering the facility and only admit authorised personnel. We have installed environmental controls and superior fire protection systems throughout. All documents are then doubled shredded. The shreddings are balled, washed and bleached. The remaining material is thoroughly clean and bears no possible resemblance to the original document. Your data has been entirely and securely destroyed.
For the purposes of data protection auditing, we provide a Certificate of Destruction for every collection. This is your proof that the data destruction process has been secure, confidential and complete.
Step 3 — Saving the Planet
At CAS we take environmental protection seriously. We aim to make the most of existing resources by reducing waste and energy consumption. Paper is a useful resource as it can be recycled multiple times. Once the documents have been destroyed, we then recycle 100% of the waste by-product, shipping it overseas to be recycled into toilet paper.
